CDN Controls Ltd. is a fully integrated provider of instrumentation, electrical, automation, communication, combustion and emissions services throughout Western Canada.

We are currently looking to hire an Invoicing Administrator to join our Administration Department at our Fort St. John branch. The Invoicing Administrator will report to the Office Manager with a dotted line reporting relationship to the FSJ Branch Manager.

Some of the Invoicing Administrator’s job responsibilities will include:
• Creating job numbers and completing full project setup including (but not limited to):
o Creation of applicable cost codes
o Obtaining applicable customer information
o Understanding billing procedures and instructions from customer contracts
o Preparing time ticket template for project and sending out with job information
• Collecting, organizing & managing pertinent invoice backup
• Verifying applicable project information is present on work tickets, invoice backup & customer invoices
• Confirming validity and accuracy of all entries
• Working with applicable departments (Parts, AP, Payroll) to correct irregularities
• Verifying customer coding and obtaining client approvals in a professional and timely fashion
• Preparing, verifying, submitting all construction invoices as per customer contract
• Assisting Accounts Receivable department with investigation of outstanding invoices
• Maintaining an organized filing system for all projects and their respective documents
• Preparing & reviewing financial reports for respective projects
• Proactively reviewing billing opportunities
• Participating in weekly Construction WIP meeting and report progress and/or issues
• Cover phones when Reception is out on lunch break as directed
• General office support as required

The Invoicing Administrator will possess the following job requirements and education:
• At least 3 years’ experience in similar administrative role
• Post-secondary certificate or diploma in Administration, Payroll, Bookkeeping or Accounting would be an asset
• Experience in Cortex, Open Invoice (ADP) would be considered an asset
• Experience in Microsoft Office Programs – Excel, Outlook, Word
• Experience in office administration & general bookkeeping procedures
• Must possess strong attention to detail and accuracy
• Exceptional verbal and written communication skills
• Demonstrate internal and external confidentiality
• Prove to be analytical and possess problem solving skills
• Time management and organizational skills are a must
• Must be flexible and have the ability to adjust priorities quickly
• Demonstrate sound work ethic and integrity
• Punctuality
• Must be willing to work within a team or independently
• Assist with office duties that may not directly pertain to position
